Business Writing, February 7 2008

Short discussion at the beginning of class. Apparently some person is wandering around the campus in a suspicious manner offering tutoring to female students.Going to be working on our memos in the second half of class. I’m under-prepared for this, but it should be fine.

Careful editing matters. Typos make you look bad and can cost money.

Plain English text uses short sentences, simple words, and clear patterns of organization. Plain English texts assure the orderly and clear presentation of information so that readers can understand it the first time they read it.

The Principles of Plain English are:

  • Reader-oriented writing
  • Natural Expressions
  • Visual Appeal

Parallel Structure

  • Produces an economy of language
  • Clarifies meaning
  • Indicates the equality of related ideas
  • achieves emphasis
  • allows readers to anticipate later information

When using parallelism, begin each list element with the same part of speech. (Noun, verb, etc.)

The distinction between active and passive voice is very important in business writing.
